GCEW™ Documentation Standards

A Mariceuticals Program | Under Brinco Group

1. Purpose

This policy establishes the official documentation standards, protocols, and compliance requirements for all GCEW Cannabis Counsellors™. Its purpose is to ensure:

  • Consistency across all client interactions
  • Professional and ethical documentation
  • Legal and liability protection
  • High-quality client care and continuity

2. Core Principle

All documentation must reflect:

  • Education — not medical treatment
  • Client-reported experience — not diagnosis
  • Objective, clear, and professional language

3. Scope of Application

This policy applies to:

  • All GCEW Certified Cannabis Counsellors™
  • All client-facing sessions (virtual or in-person)
  • All documentation formats — digital (Notion, CRM, forms) and written (PDF, printed forms)

4. Required Documentation — Session Record

Each client session must include:

  • Client ID or identifier
  • Date and time of session
  • Session type (initial / follow-up)
  • Topics discussed (ECS, Cannabinoids, Dosing principles, Delivery methods)
  • Client goals reviewed
  • Client-reported experiences
  • Education provided
  • Agreed next steps

5. Client Language Standard

All notes must reflect what the client said or experienced, use neutral non-assumptive wording, and avoid interpretation or diagnosis.

✅ Example:

"Client reported improved sleep after evening use."

❌ Not allowed:

"Client has insomnia and cannabis is treating it."

6. Education Tracking

Counsellors must document:

  • What concepts were explained (ECS, THC vs CBD, Dosing principles)
  • Client level of understanding
  • Any questions or confusion

This ensures progressive learning, not repetition.

7. Follow-Up Documentation

Each follow-up must include:

  • Changes in client experience
  • Progress toward wellness goals
  • Feedback on previous approach
  • Adjustments discussed (education-based only)

8. Confidentiality & Data Protection

Counsellors MUST:

  • Keep all client data confidential
  • Store records securely
  • Limit access to authorized individuals only

Counsellors MUST NOT:

  • Share identifiable client information
  • Discuss client cases publicly
  • Use client data without consent

9. Prohibited Practices

Counsellors may NOT:

  • Diagnose conditions
  • Recommend treatment plans
  • Prescribe cannabis
  • Use medical terminology implying treatment
  • Make outcome claims
